Privacy policy
This policy explains what personal information we collect when you book a clean or contact us, what we do with it, and the rights you have under UK data protection law.
Who we are
Washing Wheelies is a doorstep wheelie-bin cleaning service operating in Berkshire, Hampshire and Surrey. We are the data controller for the personal information described here. You can reach us at hello@washingwheelies.co.uk or 01234 567 890.
TODO: insert registered business name, company number and registered address before launch.
Information we collect
When you make a booking or get in touch we collect:
- Booking details— your name, email address, mobile number, postal address and postcode, the bins you’d like cleaned, your chosen plan, and any access notes you give us.
- Waitlist signups — your email address and postcode if you sign up to be notified when we open a route near you.
- Communications — emails, calls or messages you send us, including anything you tell us about the service.
- Technical information— basic server logs (IP address, browser, pages visited) needed to run and secure the site. We don’t use third-party analytics today.
How we use it
- To match your address to a council collection day and confirm your booking.
- To send you booking confirmations, reminders and receipts.
- To carry out the service we’ve agreed.
- To respond to questions and complaints.
- To keep records for tax and accounting (HMRC requires us to hold these for six years).
Our legal basis
We rely on performance of a contract to process your booking, and legitimate interests to run and improve the service and keep our records secure. Where we send marketing emails we rely on your consent, which you can withdraw at any time.
Who we share it with
We don’t sell your information. We share it only with the providers we use to run the service:
- Resend— sends our booking and notification emails. Resend processes email addresses and message content. Some of their infrastructure is in the US, covered by the UK’s international data transfer mechanisms.
- Vercel — hosts this website. Server logs and request data pass through their infrastructure.
- HMRC and our accountants— when we’re legally required to.
TODO: add payment processor (e.g. GoCardless or Stripe) once direct debits are wired up.
How long we keep it
- Booking records — six years after the last clean, for tax and accounting.
- Waitlist signups — until we’ve told you about coverage, or you ask us to remove you.
- Communications — up to two years from your last message.
- Server logs — typically 30 days.
Your rights
Under UK GDPR you have the right to:
- Ask what data we hold about you and get a copy.
- Correct anything that’s wrong.
- Ask us to delete it (subject to records we have to keep by law).
- Object to or restrict how we use it.
- Receive it in a portable format.
- Withdraw consent at any time, where consent is the basis we’re using.
To exercise any of these, email hello@washingwheelies.co.uk. If you’re not happy with how we’ve handled your request, you can complain to the Information Commissioner’s Office at ico.org.uk.
Cookies
See our cookie policyfor details. In short: we only use essential cookies today, and we’ll ask before turning on anything else.
Children
This service isn’t aimed at children. We don’t knowingly collect data from anyone under 16. If you think we have, let us know and we’ll delete it.
Changes to this policy
We’ll update this page if we change anything substantive — and if you have an active subscription with us we’ll email to let you know. The date at the top tells you when we last changed it.
